The challenge

The agency runs outbound for a portfolio of software clients selling into freight and logistics, on the usual diet of scraped lists and generic sequences. Reply rates have drifted below one percent, and two clients have started asking why their spend is not converting. The team can feel the problem but not fix it: every message opens with a firmographic fact the prospect already knows about themselves.

Worse, the manual research that might have saved a message does not scale. A rep can hand-craft a genuinely relevant opener for perhaps ten accounts a day, which is nowhere near the volume the client contracts require.

The approach

The agency moves its account research into Companies. It pastes its list of DACH freight forwarders, from nordfracht.example to hansaroute.example, and lets the two research waves establish each one: legal identity from the legal notice and the registers, executives in professional roles, hiring by function from the public job boards, technology, recent coverage. Every field carries its source, so a rep can quote it.

Each strike-tier account then goes through the Strategy Room. SCOUT dates the signals, PRISM tells the team which accounts to drop, and STRAT drafts a cadence that leads with one current, sourced signal per account rather than a recycled template. WARDEN's compliance review per jurisdiction becomes the starting point for the agency's own checks.

Because the whole workspace is white-labelled to the agency's brand, the dossiers the reps work from and the reports the clients review all carry the agency's name. Clients experience a sharpening of the agency's own craft, not the arrival of a new tool.

The results

Across the first quarter, reply rates on the reworked sequences run roughly three times the agency's previous baseline, and the two at-risk clients renew. The team attributes the lift less to volume than to relevance: an opener that references Nordfracht Logistik's newly filed managing director, with the register as its source, is simply harder to ignore.

Freeing reps from manual research recovers around twenty-two hours a week, which the agency reinvests in reply handling and meeting follow-through. In any real engagement results would vary by client and market; the direction is what the scenario is meant to show.
